Additional Email Storage for Employees


UIS is currently engaged in efforts to meet the growing needs of all campus constituents for additional email storage capacity. In the coming weeks we will be increasing email storage limits for Faculty and Staff from 250 megabytes to 500 megabytes.

The planned schedule for the transition is to move Administrative Offices beginning mid-December and continuing through the month of December. The Faculty and all other members of the Academic departments are scheduled to transition beginning on or after January 14th. This schedule is created to allow for Faculty to return to campus after the break and begin the new semester without disruption in email services. On the start of the 2nd week of the semester, we will begin the transition to the new storage space. Each Academic department will be given a specific date as the plan is implemented, and the entire department will be transitioned on the same evening.

This added storage is being provided as a short term resolution to current capacity constraints. For the long term, we are currently participating in the Ohio Inter-University Council’s (IUC) negotiations with Microsoft regarding our Campus Agreement for software. At the end of the negotiation process, UIS will understand what options are available for consideration as a long term solution, including Microsoft’s Office 365 email service. All options will be discussed with impacted groups on campus as we work together on improving email services, and planning for growth consistent with Shawnee State’s Mission. Until then, we hope this additional space will help you manage your increased email volume.

To allow for a smooth transition, UIS will only change one or two departments at time. UIS will contact each department in advance and provide a target date for the transition. On that date, you will have one evening of no email access while your account is being transitioned. The following morning you can expect to see the increased space in your mailbox. You will not need to make any changes to your computer. The changes are occurring on the email server.

We ask that you continue to diligently manage your mailbox by archiving your email and removing unwanted emails. Remember that managing attachments is a key way to manage mailbox size, in your inbox and sent email box.
