Opening the Reference Counter   

  • Make sure that the Clerk knows that you are present.
  • Take the sign which reads “Please Ask for Assistance at Circulation” from the counter ledge.
  • Walk about the entire Reference Area to check that nothing is amiss. 
  • Check that all electronic resources are operating appropriately.  

Closing the Reference Counter

If the Library is not closing when the Reference Counter is closed,       

  • Take a good look about the entire area to ascertain that all is well. 
  • Place the “Please Ask for Assistance at Circulation” sign on the counter ledge so that the sign faces the Library entrance. 
  • If no librarian is at Reference, check to see that the computers and peripherals in the Reference Office are also turned off. 
  • Check that all laser printer trays are at least half full.  If not, add paper.
  • Turn off the computers at the Reference Counter.
  • Let the Reference Librarian or Circulation Clerk know that your shift is over.

If the Library and the Reference Counter are closing at the same time, 

  • 30 minutes before closing, notify each patron on Level 2 that the Library will be closing at [state the time, e.g., 6:00 PM] and that all materials to be borrowed should be checked out immediately.  
  • 15 minutes before closing, notify each patron on Level 2 that the Library will be closing at [state the time, e.g., 6:00 PM].
  • 5 minutes before closing,
    • turn off the computers at the Reference Counter,
    • check that all laser printer trays are at least half full.  If not, add paper.  Do NOT turn off the laser printers.
  • If the Circulation Clerk needs your assistance, execute the additional closing procedures specified by her/him.
  • At closing, walk around Level 2 identifying patrons who may be still in the Library.  
    • Be vigilant in checking all the nooks and crannies on Level 2 -- especially the study rooms, Alcove, and restrooms.  
    • Just to be on the safe side when you are checking the restrooms, announce your presence at the restroom "door" before going into the opposite-sex's facility.  Say something like, "This is Library Reference. I'm coming into the women's [men's] restroom to do our closing check. Anybody in there?" 
  • Inform the Circulation staff of anyone remaining in the building.  
  • If necessary, after the Library closes, turn off the lights in the Reference office.  Close the Reference office door, and if it does not lock, alert the Circulation Clerk that the Reference Office needs to be locked.
  • Take a good look about the entire area to ascertain that all is well.
  • Put the “Please Ask for Assistance at Circulation” sign on the Reference Counter ledge facing the entrance.  
  • Let the Circulation Clerk know that you are leaving the building.  

Housekeeping   

All Library employees have a responsibility to keep the building neat, clean, and tidy.  Always begin and end your shift by checking to see if anything is out of place, needs to be straightened up, or requires the janitor’s attention. 

  • Toss into the wastepaper basket any trash that may have been left in carrels or chairs.
  • If chairs are pulled out from the carrels, push them in. 
  • As you assist users in the Reference Stacks, check that all the materials are securely shelved.  (Do not reshelve items lying on the counters; circulation will gather these materials for in-house count and return them to their appropriate locations on the shelves.)

Saturday

The RA who works the Reference Counter during the first hour the building is open on Saturday will clean, dust, pick up, and in general tidy up the carrels in which the computers are located.  Cleaning supplies are available at Circulation.

Sunday

The RA who works the Reference Counter during the first hour the building is open on Sunday will clean, dust, pick up, and in general tidy up the Reference Counter, the Ready Reference shelves, and the Vertical Files counter top.  Cleaning supplies are available at Circulation.


Reporting Custodial and Maintenance Needs  

If you are aware of a mess which is beyond your ability to clean up, notify a Reference Librarian, the Library Secretary, or Circulation Clerk immediately.  

Report to the Library Secretary anything which needs routine custodial attention—for example, a light bulb that needs replacing or a loose carpet square. 

If a problem requires immediate attention, notify the Library Secretary or the Circulation Clerk. 

Problems with computers and peripherals should be reported to Janet Stewart (jstewart) Remember to give as much information as possible including verbatim wording of any error messages and to place appropriate signage (for instance, Sorry Not Available signs) on all equipment affected by the problem.


Filing Publishers' Catalogs: Anytime you want to stretch, you can file the publishers catalogs that have accumulated in the black box on top of the vertical file next to the Reference Office door.  File the catalogs alphabetically by the name of the publisher.


Library Guide

Guides to the various functions of the SSU Library are available in the Library website and within the various electronic resources.  Use them for your own information and be ready to share with patrons. Print out pages to distribute to patrons who need assistance.
