LIBRARY PRIVILEGES are extensive for faculty members. A brief overview of these privileges is offered below; however, for a more complete and up to date listing of these, please consult the library’s web page. Click on “information” and then on “library services for faculty.” Borrowing privileges: After initially activating their account at the Circulation Desk, faculty members have full year-round borrowing privileges. Most materials circulate for a quarter, though items may be renewed as many times as desired up to one year as long as no other user has requested the materials. OhioLINK materials circulate for 3 weeks, and only one renewal is allowed. Interlibrary loan: Typical interlibrary loan services are available when necessary. Direct inquiries to the Reference Desk. Course Reserves: Faculty may place materials on Reserve for their classes at the Circulation Desk. A form, located at the Circulation Desk must be completed, and then the materials become available approximately one week after they are submitted. Library Liaisons: Each academic department has a reference librarian assigned as the department’s library liaison. The liaison helps the department order useful new library resources, provides information about new resources, offers research consultations, and presents customized library instruction for departments or for individual classes. Library Copying Privileges: Pass keys for copying machines can be obtained from the Circulation desk. Sign in and record the number of copies made in the log book there, and your department will then be charged. LOST AND FOUND is located at the Welcome Center in the University Center, extension 3169. The library also has its own lost and found at the Circulation desk, extension 3519. MAIL POLICY. The University will pay postage for mail sent for University business. In order to process it correctly, the sender’s department code needs to be clearly written in the right hand corner of the envelope being sent. For bulk mailings information and other services, contact Receiving and Shipping Services at extension 3518. NON-DISCRIMINATION STATEMENT. Shawnee State University does not discriminate in admission, access, or treatment in programs and activities or employment policies or practices on the basis of race, creed, sex, color, national or ethnic origin, religion, marital status, age, sexual orientation, Vietnam-era or qualified disabled veteran status, or qualified handicap. Part 106), the Age Discrimination in Employment Act of 1967, the Age Discrimination Act of 1973 (34 C.F.R. Part 104), the Americans with Disabilities Act of 1990, and other appropriate state and federal statutes, regulations and/or guidelines as they exist and may be amended from time to time. OFFICE SUPPLIES are generally obtained from the department secretary. In the event that a faculty member needs supplies that are not available in the department’s supply storage area the department secretary can get them from central supplies or can order them. PARKING TAGS for the faculty/staff parking lot are obtained from the Security office. Keys for the gate to the parking lot are obtained from Facilities. To obtain a key, a new employee’s supervisor (department chair for faculty) submits a key request form to the facilities office. For further information refer to the Vehicle Parking Policy brochure. MAINTENANCE AND CUSTODIAL REQUESTS are submitted by e-mail to the Facilities office. For maintenance (heating and air conditioning, electrical, furniture moving, hanging of shelves and holders, etc), go to the following link: http://workorder.shawnee.edu:81/home.html and follow the instructions for the automated maintenance management system. This link is also available on the Facilities home page. For custodial services send an e-mail to needs. PATENT AND OWNERSHIP POLICIES. BOT policy 2.10 PAYROLL DIRECT DEPOSIT is available to full-time faculty. Forms are available through the personnel/payroll department. Direct deposits can be made into personal checking and/or savings accounts. Most banks and credit unions participate. PETTY CASH is available for reimbursement when an individual purchases an item for the University at a cost of $20 or less. The receipt for the item, along with a “Petty Cash” form must be submitted to the business office for the employee to be reimbursed. Usually, the money is reimbursed immediately if the cash is on hand. ROOM ASSIGNMENTS for classes are made by the registrar’s office. If a faculty member wants a particular room, he or she should include the request for that room when the schedule is being made up. Schedules, including room assignments, are sent to students 30 days before the first day of the quarter. After that date, room changes are made only when there is a need for a different room, e.g. when the room is too small to accommodate the number of students in the class or when a lecture class was assigned to a lab, etc. SMOKING POLICY. All buildings on the SSU campus are smoke free. BOT policy 5.08 TRAVEL policies are covered in BOT policy 4.10. To request funds for travel through the University, an “Authorization for Overnight Travel” must be completed in advance. For expenses over $50 a “Request for Payment” must also be completed if advancement for conference fee is needed. Upon returning, the authorization form will be returned to you. That form and a completed “Travel Expense Report”, which tracks expenses, are to be turned in to the University. Receipts for expenses over $5 are required for reimbursement (Credit card receipts are not acceptable). Then excess advanced money must be returned to the University or money due the employee will be paid. Meals and lodging, in general (prices subject to change at the beginning of fiscal year) may be reimbursed up to the following amounts. Lodging $128 per night Breakfast (6 – 9 a.m.) $4 Lunch (11a.m. – 2 p.m.) $6.50 Dinner (4 – 8 p.m.) $16. When using private automobile for travel, mileage reimbursement is at $.34 per mile. A mileage guideline chart is included in BOT policy 4.10. When calling for motel/hotel reservations ask for “government rates” as these are generally cheaper. You will be asked to show SSU ID upon check-in to secure that rate. Faculty may apply for an American Express Card through the business office. The faculty member is responsible for paying the balance upon receiving the bill, even if reimbursement has not been received from the University for travel. WITHHOLDING FOR TAX-SHELTERED ANNUITIES can be submitted through payroll deduction. Listed below are the companies SSU presently has available for qualified investments or tax advantaged savings through tax-sheltered annuities. (An annuity through a company not included in the list below would not be possible under our current guidelines without 20 enrollees.) Faculty members must contact the representative from the company of their choice to enroll in their plan and deductions will begin upon the submission of proper documentation to the Payroll Office. COURSE CREDIT BY EXAMINATION: This type of credit may be available in some departments. Its availability is the option of the faculty member and the department chair. See the SSU catalog for more information. COURSEINFO WORK CENTER: The CourseInfo Work Center was established to provide support and assistance to faculty members in the process of developing a website for use as a support to their classroom-based teaching or to deliver a class online. The CourseInfo Work Center is staffed full time by Computer Engineering Technology students skilled in web design and versed in the CourseInfo platform used by SSU. They also provide technical support for all hardware and software available for use by faculty in the work center, a brief list of which includes the following: Digital Cameras Digital Video Cameras Scanners Professional Color Printers B/W Laser Printers Computer Systems CD Authoring Hardware The CourseInfo Work Center currently performs the following tasks in addition to faculty support: 1. Course Site Shell Creation. The work center currently creates the course site shells, which is the basic course site. Instructors then add all of their content to the course site to make the course site fully operational and functional. 2. Enrolling and un-enrolling students into coursesites. The work center currently manages 2,500 users in the system and there is promise of much more. As classes end and begin, students must be added and removed from the system. 3. Managing enrollments & passwords. The work center also currently handles all enrollment issues for the course sites. As students enroll into classes, the students are added to the course info system. As classes end, students are removed from the system. Al password issues are also managed from the work center. This includes problems with logging onto the system due to username/password problems. 4. Management of Course Sites. Staff of the work center also manage all course sites. This includes technical and non-technical problems that instructors may have with their sites such as dead sites, pages, links, missing data, accessibility issues, etc. Location: The Faculty Work Center is located off the atrium of the Center for the Arts. If you enter the CFA from the library side (east side), turn to your left and go down the curved hallway on the south side of the building. We are in room 135. The phone number is 351-3682. Sam Coppoletti serves as the director of the center (ext. 3525) and Megan Felts and Terry Knowles comprise the support staff. Call the work center or call or e-mail Sam with questions you may have. COURSE OUTLINES. A course outline should be distributed to each student during the first week of classes for each quarter. A copy should be given to the division chair of Dean no later than Friday of the second week of the term. The outline must include the name of the course, hours of lecture and lab, textbooks, and required readings, goals and objectives, attendance policy, grading policy and any other statements which will be helpful for the student’s successful completion of the course. BOT policy 2.01 FIELD TRIPS BOT policy 2.03 FUNDS FOR SCHOLARLY ACTIVITIES. The Faculty Enrichment Fund provides support of scholarly activities. These funds are usually requested at the beginning of the year and are depleted quickly. The Provost’s fund for conference participation may be requested at any time during the school year. Fundable activities include the presentation of a paper, and the chairing of or participation in a conference workshop. In essence, you need to be on the program to be eligible to apply for these funds. Each department and college may have a certain amount of money budgeted for travel and conferences which faculty may request. GUEST LECTURERS.BOT policy 2.02 MEDIA SERVICES offers multimedia audio visual equipment for loan on a reservation basis. It is strongly recommended that reservations be made at least 24 hours prior to use. To reserve equipment for use call extension 3256 or 351-3319 or send an email to OIT-Media Services. Walk-in and telephone orders for equipment made on the day of its use will be accepted, but availability and delivery of the equipment cannot be guaranteed. Faculty are encouraged not to move equipment on their own. Given the finite numbers of equipment that can be circulated, Media Services tracks time and location of use. The equipment is expected by the staff to be in that last known location, often to be moved to another for the next scheduled reservation. Equipment that has been checked out from Media Services and designated QUARTER LOAN (easily identified with a blue tag) should not be removed from the designated room. Doing so results in confusion for the faculty and staff who rely on the equipment to be there. Media Services provides support for curricular and extracurricular events through: Equipment reservation and scheduled delivery of circulated equipment for campus. Centralized film/video booking and rental acquisition service to faculty and staff. Calculator loans to students Duplication service (audio and video) Media Services also provides assistance to faculty, staff and students in the development and implementation of instructional media materials. Distance learning (satellite, interactive compressed video) Single point of contact for the recommended acquisition of audio-visual/multimedia equipment. Items of Note: Media Services Update (List of new equipment available for faculty use). More information can be found at www.shawnee.edu/library/fac.htm#med NEW COURSE PROPOSAL PROCESS. Faculty members who want to propose a new course fill out a University Faculty Senate Major Course Change Proposal form completely and submit the paperwork to their division’s curriculum committee. These forms may be obtained from division secretaries, curriculum committee members, or the deans’ offices. After a division’s faculty have voted to approve the new class, the division chair will place copies of the proposal in the offices of the deans and the registrar and then conduct a five-day campus-wide open hearing by e-mail. Subsequently the chair will submit the proposal, the e-mail responses, and his/her own advisory recommendation to the EPCC chair. The EPCC chair will submit the proposal for the approval of the UFS at its next meeting. Upon UFS approval, the EPCC chair will forward the proposal to the provost. Upon his/her approval, the provost will distribute copies to the registrar, EPCC chair, the printing office, and the chair of the originating division. POST-SECONDARY OPTION PROGRAM enables qualified high school students from the area to enroll in SSU classes for credit. Secondary students who opt to participate in the program are treated as other students at the University and expected to perform as such; thus no special notification is given to faculty members when secondary students are enrolled in their classes. STUDENT EVALUATIONS. All full service faculty not holding continuing contracts shall be evaluated in two classes each quarter. SEA/SSU Agreement Contract, Article IX, section 3. STUDENT GRADES. Faculty Responsibilities: BOT Policy 2.01 Grade Books: Student-related records, such as performance records and calculation of grades, must be maintained for the active year plus 6 years. Grade Audits: Grade audits (degree audits) are completed on all students who have submitted a petition to graduate. The audits are conducted by the Office of the Registrar during the quarter prior to graduation. Final Term Grades: Prior to scheduled final exams, the Office of the Registrar sends class grade sheets to instructors along with instructions for assigning grades and a notification of the deadline for submitting grades. The deadline is also announced in BASICS, the student handbook. Grade sheets must be signed by the faculty instructor and delivered in person to the Office of the Registrar. Grades may not be publicly advertised, such as by posting in the hall or faculty office. Change in Grade: To change a grade, the faculty instructor will complete a “Change of Grade” form and deliver this in person to the Office of the Registrar. Grades of “incomplete” must be converted to a grade 30 calendar days into the next quarter or they are recorded as “F’s”. SECTION III: FACULTY, PERSONNEL AFFAIRS BENEFITS. All full-time faculty are automatically members of the State Teachers Retirement System. The University provides group health, life, dental and vision insurance. The University provides tuition reimbursement for faculty enrichment and educational scholarships for dependent children 25 years or younger. Other benefits, conditions and contributions are outlined in article XVIII of the SEA/SSU Contract Agreement. CONSULTING: There is no University policy that directly addresses consulting activities. However, the following language is contained in each faculty member’s contract. “You shall advise your immediate supervisor of any activities in which you may engage that will or may result in rendering less than full-time service to the University and you may not accept employment outside the University which will infringe on your abilities to fulfill your responsibilities to the University during the assigned academic term without the expressed consent of the President.” An SSU advisory which is basically a summary of Ohio’s conflict of interest laws is available at http://www.shawnee.edu/about/governance/board/advisories.html CONTINUING CONTRACT: A continuing term of employment (not requiring annual or biannual renewal) with yearly salary adjustments may be awarded to faculty. SEA/SSU Contract Agreement, Article VIII., section 1. FACULTY DEVELOPMENT: SEA/SSU Contract Agreement Appendix D, BOT policy 2.04 FACULTY LIABILITY. A. Under Ohio law, employees are only personally liable for acts outside of the scope of their duties, or acts with malice, in bad faith, or in a wanton or reckless manner. Any other damage or injury caused by a state employee is payable by the State not the employee (see ORC 9.86 and 2743.02). B. Under Federal law, employees may be held personally liable if they are sued for violating someone’s civil rights. C. Ohio provides for indemnification of any employee held personally liable under federal law, or the law of another state or foreign jurisdiction, while performing their official duties. Maximum indemnification is $1 million per occurrence. Indemnification is not available for employees acting outside the scope of their official responsibilities, with malice, in bad faith, or in a wanton or reckless manner. (ORC 9.87(A)) D. SSU carries liability insurance in the amount of $1 million which protects employees, plus $20 million excess liability coverage. Liability insurance covers employees for most potential liability. Insurance and the law do not protect employees from liability for intentional torts. If an employee were to assault a student or third party, that would be an action outside the scope of employment, and an intentional tort not covered by insurance. This request must be made to UIS at least 5 working days prior to travel. To request assistance or report a problem with your phone, please send an email to Help_Desk. Email Services Faculty members are provided an email account. The email account allows the faculty member to communicate with people both on and off of campus. SSU uses the email system to communicate important information to the users of the system. SSU uses Microsoft Outlook as the primary email program with an exchange server handling all the processing of email. The email account is set up to hold 30 Megs of information. This space includes all the folders that are found in your account as well as calendar, tasks, journals, and contacts. Occasionally, you may be granted access to what is known as a public folder. The information that is found in public folders does not consume any of the 30 Megs of memory allocated to your personal account. When you reach the memory limit you will not be able to send or receive emails or make changes/additions to your calendar, contacts, tasks, or journal entries. Deleting information from your account will allow you to once again send and receive emails, make changes to your calendar, contacts, tasks or journal entries. Due to some infrastructure restrictions, the size of each email may not exceed 1 meg. This size limitation also applies to receiving emails from other users that are both on and off campus. Should you have questions regarding the email system at SSU please call UIS at extension 2538. Lab Services UIS will ensure that all computer labs will be operational for use by students and staff. If a problem is encountered with a computer in one of the labs please send an email to Help_Desk describing the problem and indicating the number of the computer. The request will be assigned to a staff member and it will be addressed as soon as possible. Computer Services UIS provides technical support on most software packages and peripherals which are pre-installed on your computer system. Any problem that is encountered with your computer should be handled by a technician from UIS. UIS staff will evaluate the problem and make the necessary corrections. If a problem is encountered with peripheral equipment, UIS may need to refer it to an outside agency. UIS staff will make repairs to printers as well. Any work needed on your machine should be communicated to the UIS department via an email sent to Help_Desk that outlines the particular work required. You will receive communication from our Help_Desk software to keep you informed of the status of your request. Online Course Requests Online course sites are offered to afford faculty members the opportunity to place courses on the Internet. BlackBoard’s CourseInfo (cyber.Shawnee.edu) enables faculty members to provide students with course materials, discussion boards, virtual chat, online assessments, and a dedicated academic resource center on the Internet- all without an in-depth knowledge of HTML. To request a course site, send an email to OnlineFaculty@shawnee.edu containing the name of the course and the course identification and section number. If CourseInfo does not meet your needs, an online server (online.Shawnee.edu) is available for faculty use. This online server enables faculty to provide students with web space to showcase academic projects. This method requires knowledge of HTML or a text editor. To request space on the online server send an email to Help_Desk. Information for faculty organizations or academic degree programs can be listed on the SSU web site (www.shawnee.edu). Software, training, and technical support are provided to faculty who request a web page on the official SSU web site. To request a web page send an email to Help_Desk. Information Services UIS will act a a resource for faculty who are interested in a certain information technology. We should be viewed as a valuable resource, and we will make every effort to provide the latest and most accurate information available.
